Return & Exchange Policy

At KeySync, every product is handcrafted with care, precision, and attention to detail. Due to the nature of our artisan products, our return and exchange policy is limited. Please read this policy carefully before making a purchase.

1. No Returns Policy

We do not accept returns for the following reasons:

  • Change of mind: We cannot accept returns if you simply change your mind after purchase
  • Color/texture variations: As all products are handmade, minor variations in color, shade, finish, or texture are inherent to the crafting process and are not considered defects
  • Handmade imperfections: Small air bubbles, slight asymmetry, or natural resin characteristics are part of what makes each keycap unique
  • Display differences: Slight differences between the product received and website images due to monitor settings, lighting, or photography

We highly recommend reviewing product images and descriptions carefully before placing your order. If you have questions about a specific product, please contact us before purchasing.

2. Damaged or Defective Items

We stand behind the quality of our products. We offer free replacements if:

  • The item was damaged during shipping (cracked, broken, or visibly crushed packaging)
  • The product has a major manufacturing defect (e.g., structural failure, missing parts, wrong item sent)
  • The keycap stem is broken or does not fit standard MX-style switches as described

How to Request a Replacement

To initiate a replacement claim, please follow these steps:

  1. Email us at contact@keysync.in within 48 hours of delivery
  2. Include your Order ID (found in your order confirmation email or dashboard)
  3. Attach clear photographs showing the damage or defect — include the packaging if the item was damaged in transit
  4. Optionally include a short video demonstrating the issue (especially for fitment problems)

Our team will review your claim within 24-48 hours and respond with next steps. Claims submitted after 48 hours of delivery may not be eligible for replacement.

3. Exchange Policy

  • Exchanges are only applicable for defective or damaged items — we do not offer exchanges for size, color, or design preferences
  • Exchanges are subject to stock availability — if the same product is out of stock, we will offer a store credit or refund
  • The replacement item will be shipped at no additional cost to you
  • Only one exchange per order is permitted

4. Custom & Personalized Orders

Products made to your custom specifications or personalized orders are:

  • Non-refundable — custom work begins immediately after order confirmation
  • Non-exchangeable — unless there is a major manufacturing defect
  • Subject to longer production times (typically 7-14 business days)

Before placing a custom order, we recommend discussing your requirements in detail through our Quote Request form to ensure we understand your expectations.

5. Return Shipping

  • If your replacement claim is approved, we will provide instructions for returning the defective item
  • Return shipping costs for defective/damaged items will be covered by KeySync
  • In many cases, we may ship a replacement without requiring the return of the original item — this is at our discretion
  • Items must be returned in their original packaging wherever possible
  • Please do not ship items back without receiving prior approval from our team

6. Refunds

Refunds are issued only in the following circumstances:

  • A defective or damaged item cannot be replaced due to stock unavailability
  • An order is cancelled within the permitted 12-hour window (see Section 7)
  • A payment was processed but the order could not be fulfilled

Refund Process

  • Approved refunds will be processed within 5-7 business days
  • Refunds will be credited to the original payment method (UPI, card, netbanking, or wallet)
  • Depending on your bank or payment provider, it may take an additional 3-5 business days for the refund to appear in your account
  • Shipping charges are non-refundable unless the return is due to our error

7. Order Cancellation

  • Orders can be cancelled within 12 hours of placing the order by contacting us at contact@keysync.in or through your dashboard
  • Once production or shipping has begun, cancellation is not possible
  • Cancelled orders will receive a full refund within 5-7 business days
  • Custom/personalized orders cannot be cancelled once production has started

8. Frequently Asked Questions

Can I return a keycap if I don't like the color?

No. Due to the handmade nature of our products, we cannot accept returns for color preferences. Each keycap is unique and may vary slightly from the images shown.

What if my package is lost in transit?

If your package does not arrive within the estimated delivery window, contact us with your Order ID. We will coordinate with our shipping partner (Shiprocket) to locate your package. If the package is confirmed lost, we will send a replacement or issue a full refund.

Can I get a refund instead of a replacement?

We prefer to send replacements for defective items. Refunds are issued only when a replacement is not possible due to stock unavailability.
